Go to Receptionist, then Conversations. Every call and message the receptionist handled is listed there, newest first.
What each row tells you
- Channel, whether it came in as a call or a message
- From, the caller's number
- Intent, what the receptionist worked out they wanted, such as a booking or a price
- Outcome, how it ended, including whether it became a booking or a message for you
- Started and ended, so you can see how long the caller was on
- Summary, a written account of what was said
Open a row for the full conversation rather than the summary line.
Use it to fix the configuration
The conversations list is the best feedback you will get on your own setup. Two things to watch for:
- The same question coming up repeatedly with no good answer. That belongs in your FAQ, and then the receptionist can answer it
- Calls ending in a message when they should have become a booking. That usually means the service or the availability the caller wanted is not set up the way they asked for it
The insights view
Receptionist, then Insights rolls the same data up over time, so you can see call volume and what people are actually ringing about rather than what you assume they ring about.
Recording and disclosure
Callers are told they are speaking to an automated receptionist. Keep it that way. Australian recording and privacy rules are not something to improvise around, and a caller who works out they were misled after the fact is a complaint, not a customer.
