Terms of Service
Last updated:
What changed on 11 July 2026: we added a Refunds and Cancellations section clarifying how Apple App Store subscriptions are billed, cancelled and refunded, App Store billing is handled by Apple directly, and deleting your account does not cancel an App Store subscription. This clarifies how App Store billing has always worked; it does not change your rights.
1. Agreement
These Terms of Service ("Terms") govern your use of the OneBookPlus platform operated by OneBookPlus (ABN 17 971 013 775). By creating an account or using our services, you agree to these Terms.
2. The Service
OneBookPlus is an all-in-one business management platform for Australian small businesses. The platform includes core features such as invoicing, CRM, bookings, quotes, accounting, expenses, marketing campaigns, and team management. Additional features are available through our App Marketplace, including:
- Point of Sale (POS) for order management, receipts and daily sales; card acceptance at the till is not available yet, so the card is taken on your own EFTPOS machine and recorded against the sale
- Rostering & Payroll for staff scheduling and pay runs
- AI Companion and AI Receptionist for AI-assisted workflows
- Website Builder for booking-ready business websites
- Google Reviews and automated review requests
- Google Ads and Facebook Ads campaign management
- Mailchimp integration for marketing campaigns
- Loyalty Rewards
Additional apps, including ATO Tax Lodgement and Xero Sync, are in development and will be released over time. Bank Feeds has been withdrawn while we replace the provider behind it. The current catalogue and pricing are shown in the App Marketplace.
We provide the platform on a software-as-a-service (SaaS) basis. Features and apps may be added, updated, or retired over time.
3. Accounts
- You must provide accurate and complete information when creating an account
- You are responsible for maintaining the security of your account credentials
- You are responsible for all activity under your account, including activity by team members you invite
- You must be at least 18 years old to use the service
- One person or business may maintain multiple accounts (multi-tenant)
- Account owners can invite team members with role-based access (owner, admin, member)
Multi-Factor Authentication (MFA)
OneBookPlus supports multi-factor authentication using TOTP authenticator apps. MFA is optional for general use but becomes mandatory when certain apps are installed (such as ATO Tax Lodgement). You are responsible for keeping your MFA recovery codes secure.
4. Your Data
- You retain ownership of all data you enter into OneBookPlus
- You grant us a licence to store, process, and display your data as needed to provide the service
- You can export your data at any time via the Settings page
- We will not access your data except for support purposes or as required by law
- Each business account's records are fenced off inside the database itself, so another business cannot access your data
5. Acceptable Use
You agree not to:
- Use the service for any unlawful purpose
- Attempt to gain unauthorised access to other accounts or systems
- Interfere with the service or impose unreasonable load on our infrastructure
- Resell or redistribute the service without our permission
- Upload malicious code or content
- Submit false or fraudulent data to the ATO or any government body through our platform
- Use the platform to process payments for prohibited goods or services under Stripe's terms
6. Free Trial
- New accounts receive a 14-day free trial of the platform
- No credit card is required to start a trial
- After the trial period, you must subscribe to a paid plan to continue using paid features
- You can continue using the free plan with limited features after your trial ends
- Subscriptions started inside our iOS app may include a free trial managed by Apple. Unless you cancel at least 24 hours before the trial ends, Apple automatically charges your Apple ID for the first billing period
7. Pricing and Payments
- Free plan features are available at no cost with usage limits
- Paid plans (Starter, Plus, Growth) are billed monthly or annually in Australian Dollars (AUD)
- An annual plan is charged twelve months in advance at 10 months' price, so 2 months of the term are not charged for. The discount is the reason the term is paid up front
- Annual terms are paid in advance and do not renew after cancellation. Cancelling stops the next term; it does not refund the current one. See the OneBookPlus refund policy for the change-of-mind window that applies to an annual charge
- Prices are inclusive of GST where applicable
- Payment is processed securely via Stripe
- You can cancel your subscription at any time, access continues until the end of the billing period
- We reserve the right to change pricing with 30 days' notice
App Marketplace Purchases
- Some apps in the App Marketplace are free; others require a separate monthly subscription
- App subscriptions are billed in addition to your base plan
- Some apps may offer a trial period before billing begins
- App pricing is displayed in the App Marketplace and on the billing settings page
- You can uninstall paid apps at any time to stop future charges
Apple App Store (iOS) Purchases
- Subscriptions purchased inside our iOS app are processed and billed by Apple to your Apple ID, we never see or store your payment details
- Manage or cancel these subscriptions on your device: open Settings, tap your name, then Subscriptions, then OneBookPlus
- Deleting the app or deleting your OneBookPlus account does not cancel an App Store subscription, you must cancel it through your Apple ID subscription settings
8. Refunds and Cancellations
How a refund works depends on where you purchased your subscription. The standalone policy, including timeframes and how to make a request, lives at onebookplus.com.au/refunds. In summary:
Purchases Made Through the Apple App Store
- Anything purchased inside our iOS app, including a free trial that converts to a paid subscription, is billed by Apple, and refunds are handled solely by Apple. We are unable to issue refunds for App Store transactions ourselves
- To request a refund, sign in with your Apple ID at reportaproblem.apple.com, find the OneBookPlus charge and choose "Request a refund". Apple typically responds within 24 to 48 hours
- To stop future charges, cancel the subscription on your device: open Settings, tap your name, then Subscriptions. Cancelling keeps your access until the end of the period you have already paid for
Purchases Made on Our Website
- Subscriptions purchased on onebookplus.com.au are billed via Stripe. You can cancel at any time from your billing settings, access continues until the end of the current billing period
- To request a refund of a website charge, contact support@onebookplus.com.au from your account email. We review refund requests for recent charges (for example, a trial that converted before you intended, or a duplicate payment) and respond within 2 business days
Your Rights Under Australian Consumer Law
Nothing in this policy excludes, restricts or modifies any consumer guarantee, right or remedy you have under the Australian Consumer Law. If our service has a major failure, you are entitled to remedies including a refund, regardless of where you purchased.
9. Stripe Connect and Payment Processing
If you use our invoicing payment features, payments from your clients are processed via Stripe Connect. You must agree to Stripe's terms of service. A platform fee of up to 2.5% applies to online card payments processed through our platform, in addition to Stripe's standard processing fees.
10. Point of Sale (POS)
The POS app is an optional add-on available through the App Marketplace. When using POS:
- POS is provisioned by a super administrator and may not be available to all accounts
- You are responsible for ensuring accurate pricing and tax calculations in your POS setup
- POS transactions are recorded and reflected in your accounting and daily sales reports
- POS records the tender type for each sale, including cash and card. It does not process the card itself: card acceptance at the till is not available yet, so you take the payment on your own EFTPOS machine and record it against the sale
11. ATO Tax Lodgement
The ATO Tax Lodgement app is in development and not yet available. Once released, it is intended to let you prepare and submit BAS and tax returns directly to the Australian Taxation Office through our platform. When the app becomes available and you use it:
- You authorise OneBookPlus to submit tax data to the ATO on your behalf once our Digital Service Provider approval is granted; nothing is submitted before then
- You are solely responsible for the accuracy and completeness of all tax data submitted
- MFA is mandatory for all users with access to the ATO Tax Lodgement feature
- Enhanced security controls are automatically enforced, including reduced session timeouts, stricter login protections, and comprehensive audit logging
- Your ABN must be validated against the Australian Business Register (ABR) before lodgement
- We are not a registered tax agent, this tool assists with lodgement but does not constitute tax advice
- ATO lodgement records are retained for a minimum of 5 years per Australian tax law requirements
12. Third-Party Integrations
OneBookPlus offers integrations with third-party services. When you enable an integration:
- You authorise OneBookPlus to exchange data with the third-party service as needed
- Third-party services are governed by their own terms of service and privacy policies
- We are not responsible for the availability, accuracy, or actions of third-party services
- You can disable integrations at any time through your settings
Current integrations include: Stripe, Google Calendar, Mailchimp, Google Ads, and Facebook Ads. Xero Sync and ATO Tax Lodgement integrations are in development and not yet available.
13. Availability and Support
- We aim for 99.9% uptime but do not guarantee uninterrupted service
- We may perform maintenance with reasonable notice
- Support is provided via email at hello@onebookplus.com.au
14. Limitation of Liability
To the maximum extent permitted by Australian Consumer Law (ACL):
- OneBookPlus is provided "as is" without warranties beyond those required by the ACL
- We are not liable for indirect, incidental, or consequential damages
- Our total liability is limited to the fees paid by you in the 12 months before the claim
- We are not responsible for errors in your financial data, tax calculations, or business decisions based on our reports
- We are not liable for any penalties, fines, or interest resulting from incorrect tax lodgements made through our platform
- We are not responsible for failures or errors caused by third-party integrations or services
15. Tax and Financial Disclaimer
OneBookPlus provides tools to help manage your business finances, including GST calculations, BAS summaries, accounting reports, and ATO tax lodgement. However:
- We are not a registered tax agent, BAS agent, or financial adviser
- Our reports, calculations, and tax lodgement tools are for guidance and convenience only
- You are responsible for verifying all financial data with a qualified accountant or tax professional before lodging with the ATO
- We are not liable for errors in tax lodgements, BAS submissions, or financial reports
- Our GST calculations are based on the data you provide and may not account for all tax scenarios
16. Security
We take the security of your data seriously. Our security measures include:
- Encryption in transit (TLS) and at rest
- Each business's records fenced off inside the database itself, not just in the application code
- Multi-factor authentication (MFA) support
- Configurable idle timeout and session duration settings
- Brute force protection with automatic account lockout
- Audit logging for sensitive operations
You are responsible for maintaining the security of your account credentials and MFA devices. Notify us immediately if you suspect unauthorised access to your account.
17. Termination
- You may close your account at any time
- We may suspend or terminate accounts that violate these Terms
- On termination, we will retain your data for 30 days, after which it may be permanently deleted
- Financial records and ATO lodgement records may be retained longer as required by Australian law
- App Marketplace subscriptions billed by us are cancelled automatically when your account is closed
- Subscriptions billed through the Apple App Store are not cancelled by closing or deleting your account, cancel them in your Apple ID subscription settings to stop Apple billing you
18. Governing Law
These Terms are governed by the laws of Victoria, Australia. Any disputes will be resolved in the courts of Victoria.
19. Changes to Terms
We may update these Terms from time to time. We will notify you of material changes via email or a notice on the platform. Continued use after changes constitutes acceptance.
