Key takeaways

5
  • Australian real estate agents are licensed at state level (NSW: Fair Trading, VIC: CAV, QLD: OFT, SA: CBS, WA: Consumer Protection / DEMIRS) and must hold a Class 1 or Class 2 licence (NSW), Estate Agent licence or Agent's Representative registration (VIC), real estate agent licence or salesperson registration certificate (QLD), and equivalent in SA / WA.
  • Trust account compliance: any deposits or rent monies held on behalf of clients must be in an authorised trust account, with state-by-state audit + reconciliation requirements (NSW: monthly trust reconciliation, VIC: annual external audit lodged with CAV).
Show 3 more
  • Common AU real estate platforms: Agentbox (enterprise quote), Vault RE, Eagle Software, REX, MyDesktop. Most do not include full accounting, so agencies pair with Xero (from $37/mo) or MYOB (from $11/mo). Vendor prices verified 2 August 2026.
  • OneBookPlus is the right-sized alternative for boutique agencies (1 to 10 agents): listings + duplicate-free CRM with buyer matching + commission tracking + inspections + vendor reports + a live listing feed for your website + agent KPIs + accounting. The platform plan runs from $0/month (Free) to $69/month (Growth); the rent roll, trust accounting and AML packs are separately priced apps on top of it, individually or as a bundle.
  • Industry benchmarks: agent commission typically 1.5 to 3.5% of sale price. Recurring transactions involve trust accounting, settlement coordination and vendor reporting. OneBookPlus tracks commissions, settlement milestones and vendor reports per listing, and its trust module is a client-money cash book with per-client ledgers and a month-end reconciliation you sign off. It is not a state-compliant statutory trust system and does not produce an auditor's report, so it runs alongside the trust system your state regulator requires rather than replacing it.

Example walkthrough

Saturday, opens, offers and the follow-up list

An illustrative walkthrough of a typical agent's day

You check the dashboard first thing: the open homes scheduled for today, the private inspections confirmed, and the leads flagged for follow-up. Overnight, buyers registered for the morning open through the QR code link and were confirmed by email automatically.

Before you head out you review the buyer register. Buyer matching has flagged the contacts whose saved preferences fit the property, so you message the closest ones. At the open, attendees scan the QR code to check in and their details land in the CRM with interest level, buyer type and finance status.

After the open you log feedback in two taps. A vendor calls for a progress update, and you pull up their report: enquiries to date, offers pending, marketing fund spent to date, and the agreed commission rate plus GST. The branded PDF goes out from the app while you are still in the car.

Back at the office you build a digital proposal for a new appraisal with comparables and e-signature. The vendor opens it on their phone and you get the notification. At the end of the week the KPI view shows listings won, inspections conducted, proposals sent and the commission pipeline, with management fee invoices raised and the BAS summary current.

One day, written by itself, an illustrated day of an Australian real estate agency run on OneBookPlus

An illustrated day, not real customer data. Scroll through it from morning to 5pm: the AI receptionist answers and books a missed call, the work runs from the app, the GST invoice is sent on the spot, payment lands and the books balance themselves, a review invite is queued for the next daily run, and the day closes with the ledger already written.

8:30am

While you're setting up an open

The pre-auction appraisal you'd have missed.

A Northcote owner wants an appraisal before auction season. She calls the first agent on Google, you. You're hanging A-frames.

AI Receptionist

Answered before your first buyer arrived.

The AI answers in two rings, books a 1:30 pm appraisal and texts her a confirmation, before your first buyer arrives.

At the appraisal

Comparables and her notes, already pre-filled.

The appointment card has it all: address, CMA comparables, her enquiry notes. Your proposal is pre-filled.

From the car

Campaign invoiced on the spot.

She signs the agency agreement on her phone. One tap sends the marketing-campaign invoice with a pay link.

While you're on callbacks

Paid. Listed. Balanced.

The $2,200 campaign payment lands, the books update themselves and $200.00 GST is set aside for BAS.

Reputation on autopilot

The review ask, once the agreement is signed.

After the signed agreement the AI requests a review from your new vendor, timed to the delay you set. No chasing, no awkward ask.

The day closes itself

Frequently Asked Questions

Common questions about real estate agency and property management software.

Is OneBookPlus real estate software free?

Yes, our free plan includes property listings, contact CRM with lead status and source, inspections, buyer matching, a live XML and JSON feed of your listings for your own website, and marketing fund tracking. Upgrade for auto-responders, digital proposals, agent KPI dashboards, and advanced features.

Can buyers book property inspections online?

Yes. Publish open home schedules and private inspection slots with a unique registration link or QR code. Buyers register their interest, receive automatic confirmation emails via auto-responders, and you get a list of confirmed attendees with buyer preferences before each open.

How does buyer matching work?

Save buyer preferences on any contact, budget, suburbs, property types, bedrooms, pre-approval status, and urgency. When you create a new listing, OneBookPlus automatically scores your CRM contacts against the property and shows you the best matches ranked by confidence. Call the hottest leads before your competitors.

Can I push listings to realestate.com.au and Domain?

Not yet. OneBookPlus generates a REAXML feed of your listings at a URL unique to your agency. REAXML is the XML format the Australian portal industry uses to exchange listing data. What neither portal does is collect listings from a link: realestate.com.au ingests REAXML pushed to its servers by a registered feed provider, and Domain takes listings through its Listing Management API. We are working through registration with both, and until that is done keep your existing uploader pointed at the portals. The feed is useful today for your own website and for any tool that accepts a feed URL, and we will say clearly when direct delivery to the portals changes.

Does it replace both Agentbox and Xero?

Yes. OneBookPlus includes the real estate CRM features (listings, inspections, commissions, proposals, vendor reports) plus full accounting (GST invoicing, expense tracking, P&L, BAS summaries). You don't need Agentbox CRM + Xero + Console PM, one book handles it all.

What about property management?

OneBookPlus includes lease management, maintenance request tracking, bond tracking, landlord statements, and tenant CRM built in. No separate product needed, unlike competitors where PM requires a separate subscription.

What is a REAXML feed?

REAXML is the standard Australian XML format that real estate portals like realestate.com.au and Domain use to import agency listings. OneBookPlus generates a REAXML-compatible feed from your listings automatically, at a URL unique to your agency, so any tool that reads REAXML always has your current stock. Generating the feed is not the same as delivering it: the portals only accept listings through their own registered channels, and we are working through registration with both. In the meantime the feed keeps your own website and tools in step with your listings.

Does OneBookPlus include trust accounting?

Yes. OneBookPlus now includes built-in trust accounting for sales deposits and rent monies: separate sales and rental trust accounts, a receipts-and-payments ledger with running balances, and month-end reconciliation, kept strictly apart from your general accounting. It works alongside listings, CRM, commissions, inspections and your agency's own GST accounting. Trust accounting is regulated and state-audited, so check your obligations in our trust account rules by state guide and have your records independently audited as your state requires.

Does OneBookPlus help with the 2026 AML/CTF rules?

From 1 July 2026 real-estate agents become AUSTRAC reporting entities. OneBookPlus includes early-access tools to help you prepare: customer due-diligence recorded against a contact (identity document type and reference, beneficial owners, source of funds), per-customer risk scoring, a screening workflow, suspicious-matter report drafting, and seven-year record retention. Know the limits before you rely on it. Due diligence attaches to the contact, not to an individual deal, so re-check the parties on each transaction. Identity verification is your own check written down: you record the document details and set the verification status yourself, and no identity-verification provider is connected. Screening routes every customer to manual review instead of querying a sanctions or PEP list, and marking a suspicious-matter report submitted retains it here but transmits nothing to AUSTRAC, so you lodge it through AUSTRAC Online. These are workflow tools to support your AML/CTF program, not legal advice and not a compliance guarantee, so confirm your obligations and program with a qualified adviser.

Can I manage short-stay (Airbnb/Stayz) properties?

Yes. The short-stay module tracks your STRA register status and safety checklist, logs bookings, and calculates the short-stay levy (for example Victoria's 7.5%) plus the non-hosted night cap, alongside your sales listings and long-term rent roll. Rates and caps vary by state and change often, so confirm the current figures with your state revenue office.

What is the best real estate CRM software in Australia?

The right CRM depends on your agency size, but the best value for an independent or boutique Australian agency keeps listings, contacts, inspections, commissions and your own GST accounting in one place instead of paying for a CRM and accounting separately. OneBookPlus does that from $0/month with buyer matching, a live feed of your listings for your own website, and BAS-ready accounting built in.

How is OneBookPlus different from Agentbox, Rex or VaultRE?

Agentbox, Rex and VaultRE are dedicated real estate CRMs, mature and feature-rich for sales workflow, but they're CRM-only, so you still run Xero or MYOB for the agency's own books and often a separate trust-accounting product. OneBookPlus combines the sales CRM (listings, buyer matching, inspections, commissions, vendor reports) with full GST accounting on the same data, then sits alongside your statutory trust system rather than replacing it. For a smaller agency, that's one subscription instead of a CRM plus an accounting tool.

Does OneBookPlus handle GST and BAS on real estate commissions?

Yes. When you record a commission on a listing, the 10% GST component is calculated automatically, and the tax invoice generated at settlement shows the commission, GST and your agency's ABN. Every commission, management fee and letting fee you invoice flows into the same books, so the P&L stays current and the BAS summary shows GST collected against GST credits on your agency expenses when the quarter ends. You can model a sale first with the commission calculator on this page's sub-guide, then track the real deal from pending through to paid.

Can letting agents use OneBookPlus?

Yes. Letting agents and property managers get rental listing management, tenant registration at opens, lease management with rent and bond tracking, maintenance requests, arrears tracking and landlord statements. Letting fees and ongoing management fees are invoiced with GST from the same screen, and they land in the agency's P&L and BAS summary alongside sales commissions, so a mixed sales-and-rentals office keeps one set of books.

How this page was researched

The compliance and licensing statements above are taken from the bodies this page links to, including the Real Estate Institute of Australia, Business Queensland and SA Consumer and Business Services, so you can read the rule rather than take our word for it. Plan prices come from the OneBookPlus price registry, so the page and the checkout cannot disagree. Everything said about OneBookPlus describes what the product does today, and the page says so where it does not do something.

Your Complete Real Estate Workflow, From Property Listing to Commission in the Bank

Real estate agencies juggle an enormous number of relationships and transactions simultaneously, vendor expectations, buyer enquiries, tenant maintenance requests, inspection schedules, settlement deadlines, and commission reconciliations. OneBookPlus brings the entire agency workflow into one platform, replacing the patchwork of spreadsheets, email threads, and disconnected tools that slow most agencies down.

Property Listing & Marketing

Every sale or rental begins with a listing. Create property records with full details, address, property type, bedrooms, bathrooms, land size, features, asking price or rental yield, and listing status. Attach photos, floor plans, and marketing copy directly to the listing profile. Track the property through its lifecycle: from initial appraisal, through marketing campaign, to offers received, under contract, and finally settled or leased. For each listing, log marketing activities, photography booked, signboard installed, online portal listings live, print advertising placed, so you have a complete record of what was done and when. Vendors appreciate the transparency, and you have documented proof of your marketing efforts if ever questioned. Listing statuses update your public-facing booking page automatically, so inspection slots are only available for active listings.

Lead Management & Buyer CRM

Every enquiry, whether it comes from a portal, your website, a phone call, or a Saturday open home, is captured in the CRM as a lead. Record the buyer's name, contact details, property preferences (location, budget, bedrooms, must-haves), pre-approval status, and urgency level. Associate each lead with the listings they've enquired about and the inspections they've attended. When a new listing matches a buyer's criteria, you can see the match instantly and reach out with a targeted notification rather than a generic blast. The CRM also manages your vendor relationships, track vendor communication, price expectations, feedback from inspections, and contract negotiations in one timeline. For property management, maintain separate profiles for landlords and tenants with lease terms, rent amounts, payment history, and maintenance request logs. Every contact interaction is recorded chronologically, so any agent in the office can pick up a conversation where a colleague left off.

Inspection Bookings & Open Homes

Schedule open home times and private inspections directly within each listing. Publish inspection times to your booking page where buyers can register their attendance online. Registration captures the buyer's contact details and adds them to the listing's enquiry trail automatically, no more sign-in sheets that get lost or names you can't read. Before each open home, you see a list of confirmed attendees with their contact details and property preferences, letting you prepare personalised talking points. Automated reminders sent the morning of the inspection improve attendance rates significantly. After the open, log attendee feedback, level of interest, price feedback, objections, against each buyer profile. For private inspections, the buyer books a specific time slot, receives a confirmation and reminder, and the inspection appears on the responsible agent's calendar. The entire inspection workflow runs without manual phone calls or email chains.

Commission Tracking & Revenue

Commission is the lifeblood of a sales agency, and OneBookPlus tracks it from the moment an agency agreement is signed through to the funds hitting your account. When a listing is created, record the agreed commission structure, percentage-based, tiered, fixed fee, or a combination, and the system calculates the expected commission as the sale price is updated. As the listing progresses through offers, exchange, and settlement, the commission status moves with it: pending, earned, invoiced, paid. For multi-agent splits, define the split percentage per agent at listing creation and each agent sees their individual share on their dashboard. GST on commission is calculated automatically. Generate a tax invoice at settlement with the correct commission amount, GST component, and your agency's ABN. The commission dashboard gives principals a real-time view of pipeline revenue, what's pending, what's exchanged, and what's due for settlement this month, making cash flow forecasting far more accurate than relying on spreadsheets or memory.

CRM Nurturing & Long-Term Relationships

Real estate is a relationship business. The buyer who doesn't purchase today may buy in six months. The vendor who sold with you will need an agent again when they upgrade. The landlord whose property you manage may have other assets. OneBookPlus keeps all these relationships warm with structured follow-up workflows. Set follow-up tasks and reminders for each contact, a quarterly check-in call with past vendors, a monthly market update email to buyers in your database, a yearly portfolio review with investor landlords. Send email campaigns to segmented contact lists, first-home buyers, downsizers, investors, or tenants approaching lease renewal. Every interaction is logged, so you build an increasingly rich picture of each contact's real estate journey. When the time comes and they need an agent, you're not a cold call, you're the one who has been in touch consistently. Your database becomes your most valuable business asset, and OneBookPlus ensures it stays organised, actionable, and growing.

Real Estate Accounting Software Built Around Agency Money

Most agency platforms stop at the CRM. OneBookPlus is real estate accounting software and an agency CRM running on the same data, so the commission you record against a listing becomes the tax invoice at settlement, the invoice becomes income in your P&L, and the GST component lands in your BAS summary without re-keying anything into Xero or MYOB. Whether you sell, manage a rent roll, or work as a letting agent placing tenants, the money side of the agency lives in the same book as the listings, contacts and inspections that generate it.

Commission Accounting with GST Done Properly

Record the agreed commission structure per listing (flat percentage, tiered, fixed fee, or a combination) along with per-agent splits, and the expected commission recalculates as the price changes. GST is applied automatically, so a 2.2% commission on an $850,000 sale shows the ex-GST amount, the 10% GST and the total on the invoice, with your ABN and licence number in place. The pipeline view moves each deal through pending, earned, invoiced and paid, which turns commission from a spreadsheet guess into a cash-flow forecast the principal can actually rely on. Vendor-paid advertising stays separate: the marketing fund is tracked per listing, so VPA money never blurs into agency income. Before you list, you can model the numbers with the real estate commission calculator (flat or tiered rates, splits and GST) and sanity-check your rates against the agency fees benchmark for every capital city.

GST, BAS and the Agency's Own Books

Every commission, management fee and letting fee you raise is a proper GST tax invoice, and every agency expense (portal subscriptions, signboards, photography, fuel) is tracked against it. The P&L stays current through the quarter, and when the BAS falls due the summary already shows GST collected on your fees against GST credits on your expenses, so lodgement prep is a review rather than a reconstruction. Agency bills and receipts can be scanned rather than typed: drag in the photo or PDF and the supplier, date, GST and total are read for you. If you want to check a figure by hand, the GST calculator and BAS calculator cover the common cases, and the finance and accounting features overview shows the full ledger, invoicing and reporting toolkit behind the agency screens.

AUSTRAC, AML/CTF and the 1 July 2026 Deadline

From 1 July 2026, tranche-two AML/CTF reforms make Australian real estate professionals AUSTRAC reporting entities. That means enrolling with AUSTRAC, running an AML/CTF program, performing customer due diligence on the parties to a transaction, reporting suspicious matters, and keeping records for seven years. OneBookPlus includes workflow tools to help you prepare: customer due-diligence records (identity, beneficial owner, source of funds) captured against each contact, per-customer risk scoring, suspicious-matter report drafting and long-term record retention. These support your program; they are not legal advice, so confirm your obligations with a qualified adviser. Trust money remains separately regulated at state level: the trust account rules by state guide summarises the audit and reconciliation timelines that sit alongside your AML/CTF obligations.

Listing Management That Carries Through to Settlement

Listing management in OneBookPlus is one record per property from appraisal to settled: photos, features, asking price, vendor details, the status pipeline, the inspection schedule and the marketing activity log all live on the listing itself. Create or update a property once and your listing feed updates with it, so your own website and any tool reading the feed URL always show current stock, open-home registrations flow back in as CRM contacts, and buyer matching ranks the database against the new stock so your first calls go to the hottest leads.

The same listing management workflow covers rentals. Property managers and letting agents advertise the rental, register prospective tenants at opens through the same QR-code flow, and convert the successful applicant into a lease with rent, bond and routine-inspection dates recorded against the property. From there the rent roll takes over: arrears tracking, maintenance requests and one-click landlord statements, without a separate property-management product.

Because listing management and accounting share one database, the handover at the end of a campaign is automatic. A settled sale raises the commission invoice with GST; a leased rental raises the letting fee invoice; both land in the agency's P&L and BAS summary the moment they are paid. Opening your own office soon? The guide to starting a real estate agency in Australia walks through licence, trust account and software-stack decisions step by step.
