Zapier setup guide

Everything you need to connect OneBookPlus to Zapier and build your first automation: how to connect, what every trigger and action does, how to fill in the trickier fields, and what to do when something does not fire.

Connecting, step by step

    Create your Zap in Zapier

    Sign in to Zapier and start a new Zap. Search for OneBookPlus and pick it as either the trigger (something happened in OneBookPlus) or the action (do something in OneBookPlus).

    Connect your OneBookPlus account

    Click Connect. You will be taken to OneBookPlus to sign in and approve access. There is no API key to copy or paste. If you own more than one business, you choose which one this connection is for, so a Zap can never write to the wrong business.

    Pick the trigger or action

    Choose from the list below. Zapier will pull a real sample record from your account so you can map fields with actual values rather than guesses.

    Map your fields and turn it on

    Match the fields from your other app to the OneBookPlus fields. Test the step, then switch the Zap on. Triggers fire within seconds of the event happening.

Invoice Paid

Fires when an invoice is marked paid. Includes the customer who paid, the totals, GST, and the paid-at timestamp.

Quote Accepted

Fires when a customer accepts a quote. Includes the customer, the total, and when it was accepted.

New Booking

Fires on every new booking, including self-service bookings made through your public booking page.

New Contact

Fires when a contact is created.

New Job

Fires when a job is created, whether manually, from an accepted quote, from a booking, or by import.

Job Scheduled

Fires when a job is given a scheduled start, so you can push it into a calendar or notify a crew.

Job Completed

Fires when a job is marked complete.

Actions: create records in OneBookPlus

Create Invoice

Creates an invoice with one or more line items. Leave the dates blank to default to today and today plus 14 days.

Create Quote

Creates a quote from line items, or from a flat total if you do not have itemised data.

Create Contact

Creates a contact. Pair it with Find Contact to avoid duplicates.

Create Booking

Creates a booking for a contact. End time defaults to start plus 60 minutes.

Create Job

Creates a job, optionally with a scheduled start and end.

Searches: find a record before you act on it

Find Contact

Looks a contact up by email. Can create one if there is no match, which is the usual way to avoid duplicate customers.

Find Invoice

Looks an invoice up by its invoice number.

Find Job

Looks a job up by its job number.

Filling in the fields

Dates
Issue date, due date and valid-until accept either a plain date like 2026-01-15 or a date mapped from another app. If the mapped value carries a time and timezone, the calendar day is used and the time is ignored, so a booking at midnight will not slip to the previous day.
Line items
Create Invoice and Create Quote take a line-items group: description, quantity and unit price are required per line. GST rate is a fraction, so 0.10 means 10 per cent. Leave it blank for the 10 per cent default, or set 0 for GST-free lines.
GST-inclusive pricing
Tick 'Prices include GST' when the unit prices you are sending already have GST baked in. Leave it off and GST is added on top.
Choosing a contact
The contact field is a dropdown of your existing contacts, and it also supports find-or-create, so a Zap can look up the customer by email and make one only if they are new.
Duplicate protection
Every create action sends an idempotency key. If Zapier retries a task after a network blip, you get one invoice, not two.

Troubleshooting and common questions

How do I connect OneBookPlus to Zapier?
In Zapier, add OneBookPlus as a trigger or action and click Connect. You sign in to OneBookPlus and approve access. There is no API key. If you own more than one business, you pick which one to connect.
Why is my trigger not firing?
Triggers fire on server-side events. Check the Zap is switched on, and that the event actually happened in the business you connected rather than a different one. Jobs created or completed only in the native mobile app do not currently fire a Zap.
Why did my invoice date come out a day early?
This was a timezone issue in older versions where a mapped date carrying a UTC time could roll back a day. Current versions read the calendar day directly. If you still see it, re-test the step so Zapier picks up the latest version.
I get an error about developer access or write scope
The connected account needs write access to the business. Reconnect the account in Zapier, and make sure you approve access for the correct business.
How do I disconnect Zapier?
In OneBookPlus, go to the integrations hub and click Disconnect on the Zapier card. That immediately revokes access. Zapier will ask you to reconnect if you switch a Zap back on.
Does it cost anything?
The OneBookPlus side is free. You only need your own Zapier account, and Zapier's plans govern how many automations and steps you can run.
