Apply Your First Scope Template

Track what was cleaned with the per-job scope checklist, attach photo evidence per item, and generate a proof-of-service PDF for the client or agent.

What scope templates do

A scope template is a pre-built inclusions checklist. OneBookPlus ships 13 system templates covering bond cleans (NSW / VIC / QLD), commercial offices, strata common areas, medical facilities, Airbnb turnovers, carpet, window, and standard / deep residential.

Applying a template to a job creates per-job scope items, each one tickable, photo-evidenceable, and exportable as a proof-of-service PDF.

When to use scope templates

  • Bond cleans: agents request inclusions evidence in 60%+ of disputed bond returns. Photo-stamped items resolve disputes in minutes.
  • Strata / body-corp common areas: owners corporations vote at the AGM. A 12-month evidence trail is the difference between renewal and replacement.
  • Medical / healthcare: NSQHS Standard 3 and audit cycles (ACHS, QIP, ACSQHC) require demonstrable cleaning logs per zone.
  • Commercial contracts with periodic deep cleans: agreed scope per visit cycle, easily proven afterwards.

For a one-off Tuesday house clean for a regular residential client, the scope feature is overkill. Use it where stakes and evidence matter.

Step 1: Apply a template to a job

From the job detail page (/dashboard/jobs/[id]), click Scope Checklist in the top action bar.

If the job has no scope items yet, you'll see a template picker:

  1. Browse the available templates (system + your own tenant templates)
  2. Tap a template's Apply button
  3. The template's items materialise into the job's scope checklist

Alternatively, browse all templates at /dashboard/cleaning-templates and tap Apply to a job on any card.

Step 2: Work through the checklist

Each item has 3 states: pending (default), completed, skipped (with optional reason). On-site:

  • Tap the empty circle to mark an item complete (becomes a green tick)
  • Tap the skip icon to mark skipped, optionally add a reason ("agent removed from scope", "no access")
  • Tap the pencil to add a note ("noted minor mark, owner aware")
  • Bulk-complete an entire zone with the Done button in each zone header
  • Add a + Custom item if the actual scope is broader than the template

Step 3: Attach photo evidence

For each item:

  • Tap Before to open the camera and capture the pre-state
  • Tap After to capture the post-state
  • Photos auto-link to that scope item with a coloured stripe (amber=before, emerald=after)
  • Pick from existing lets you link photos already uploaded against the job

One photo can evidence multiple items (a kitchen wide-shot covers stovetop + rangehood + sink). Link it to all relevant items.

Step 4: Deliver the proof

From the scope page header:

  • PDF: downloads a branded scope summary with status per item + embedded photo thumbnails
  • Email PDF: sends the PDF as an attachment to the agent / facility manager / strata manager with an optional cover message
  • ⌃ Save as template: if you customised the items, save the customised structure as a reusable tenant template

Tips

  • Don't skip the Before photo. The dispute always comes down to what was the property like at handover. Without a before photo, you're arguing word-against-word.
  • For commercial recurring contracts, set a default scope template on the recurring schedule (Dashboard, then Recurring Jobs, then Scope link). Every spawned job materialises automatically.
  • Templates are versioned per-job, applying a template snapshots the items. Editing the source template later doesn't change historical jobs.
