Turn an accepted quote into an invoice

Once a client accepts a quote you can convert it in one step. The line items, amounts and GST carry across exactly as quoted.

A quote only becomes an invoice once the client has accepted it. That is deliberate: converting is the point where the numbers stop being a proposal and start being money you are owed.

Mark the quote accepted

A quote moves through these states: draft, sent, viewed, accepted or declined, and finally converted.

If the client accepts through the link you sent them, the quote moves to accepted on its own. If they said yes over the phone or in person, open the quote and set the status to accepted yourself.

Convert it

  1. Open the accepted quote
  2. Choose Convert to invoice
  3. The line items, quantities, amounts and GST treatment come across exactly as quoted
  4. The quote status becomes converted

What you cannot do afterwards

A converted quote is a dead end. It cannot be reopened, reset to sent, or converted a second time. That is what stops one accepted quote turning into two invoices for the same job.

If the work changed after acceptance, duplicate the quote, price the new scope, and send that. Do not try to edit history.

Accepted, declined, and changing your mind

Accepted and declined are decisions, so OneBookPlus will not let you silently un-make them. The only move out of accepted is to converted. If you marked the wrong quote accepted, duplicate it and start the new one clean.

Turning a quote into a booking instead

The same rule applies. Only an accepted quote can take a slot in your calendar, so a draft or an expired quote cannot quietly hold a booking your diary thinks is free.
