Timesheets & Clock In/Out

Record hours worked, set up the time clock kiosk so staff clock themselves on with a PIN, and approve timesheets for payroll.

Timesheets record the actual hours your employees work.

How Employees Clock In

Your team clocks on at a time clock kiosk: a page you open on a tablet, a spare phone or the shop computer and leave sitting on the counter.

1. Turn the kiosk on

  1. Go to Rostering, then Timesheets
  2. In the Time clock kiosk card, switch the kiosk on
  3. Copy the address it shows, or scan its QR code with the device you want to use
  4. Open the address on that device and add the page to its home screen

Your kiosk address looks like onebookplus.com.au/clock-in/your-business. Only an owner or admin can switch it on.

2. Give each person a PIN

  1. Go to Rostering, then Employees and open the employee
  2. In the Kiosk PIN section, type a 4-digit PIN or use Auto-Generate

Only staff who have a PIN appear on the kiosk.

3. Your team clocks themselves on

  1. They tap their name on the kiosk
  2. They type their PIN, and they are clocked on
  3. On the way out they tap their name again and enter their break minutes

There is no login and nothing to install, and staff clocking in this way do not use one of your user seats. Every punch arrives here as a pending timesheet for you to approve.

Note: Card swipes, key fobs and fingerprint readers are not supported. The PIN is the method.

How Timesheets Work

Each timesheet entry records:

  • Employee name and position
  • Date of the shift
  • Clock in time: when they started
  • Clock out time: when they finished
  • Break minutes: total break time
  • Total hours: automatically calculated
  • Overtime: any hours over their ordinary weekly hours
  • Notes: any relevant comments

Timesheet Statuses

  • Pending: submitted but not reviewed
  • Approved: manager has approved the hours
  • Submitted: sent to payroll for processing

Approving Timesheets

  1. Go to Rostering, then Timesheets
  2. Review pending entries
  3. Click Approve to confirm the hours, or Reject with a reason

Approved timesheets feed into payroll calculations.

Tip: Encourage employees to clock in and out daily so timesheets are accurate.
