Set up the Rego & CTP Reminder Workflow
Auto-track registration and CTP green-slip expiry per vehicle. SMS + email reminders fire at 30 / 14 / 3 days before expiry so customers don't drift to the dealer.
Add a Customer Vehicle
Capture rego, VIN, make/model, current KM, owner, and rego renewal in one form. The customer-vehicle directory is the central spine of every workshop workflow.
Log a Service
Capture service kind, date, KM at service, summary, and parts used. Service logs drive the next-service-due banner and the service history PDF.
Bulk Import Vehicles from a Spreadsheet
Load a customer-vehicle database from a CSV. Header aliases match the usual exports from Workshop Software, MYOB Workshop, iBodyshop and home-grown sheets.
Set up the Capped-Price Service Menu
Publish a transparent "from $X" pricelist on your public booking page. Compete with Ultra Tune and MyCar on price clarity without ceding margin.
Pre-Purchase Inspection (PPI) Workflow
Productise the $220-$400 PPI work most workshops do ad-hoc. Structured 120-point checklist, customer-signable PDF, branded buyer report.
Service Membership / Subscription Plans
Sell recurring monthly plans that include scheduled servicing. Turn one-off customers into predictable MRR.
Set your workshop labour rate
Set the per-hour labour rate that auto-fills new automotive jobs and invoices, so every quote stays consistent. Override it per job when the work demands it.
Build the parts catalogue
Add parts you use weekly, oil, filters, brake pads, fluids, with default cost and markup. Pull onto any job in two taps instead of re-typing the price every time.
EV service pack: setup and workflow
Battery state-of-health capture, software-version logging, charge-port inspection, and the per-make checklist for Tesla, BYD, MG, Polestar, Kia, Hyundai and Volvo.
Fleet Customer Portal: setup and rollout
Stand up a self-serve portal for your fleet customers: service history, rego alerts, online booking and cost-centre reports, in your own branding.
Warranty claim tracker: set up and reconcile
Track manufacturer warranty jobs from RAC code through claim submission to reimbursement. Pre-built for Toyota, Hyundai/Kia, MG, Mitsubishi and Mazda flows.
Frequently asked questions
The registration plate. Everything else, the VIN, make, model, year, colour, odometer, owner and rego expiry, is optional and can be filled in later. Go to Vehicles, then Add vehicle. Service history, rego reminders and inspections all hang off the vehicle record, so adding it first saves re-keying the same details three times.
Three times per vehicle: 30 days, 14 days and 3 days before the expiry date on the record. They go by SMS and email to the owner contact on the vehicle. Record the rego expiry and the CTP expiry on the vehicle and the reminders schedule themselves. The article "Set up the Rego and CTP Reminder Workflow" walks through it.
Yes, through a CSV import. Go to Vehicles, then Bulk Import, and paste the rows or upload the file. Headers are matched automatically against the names that common exports use, so the file usually needs no hand-editing first. Registration is the only required column. Up to 2,000 rows per import, and a row whose rego already exists on your account is skipped rather than overwritten.
In one place, once. New automotive jobs and invoices then fill the per-hour rate in from there, so a quote written on Friday uses the same rate as one written on Monday. The article "Set your workshop labour rate" shows where it lives and what it flows into.
Yes. The fleet customer portal gives a fleet account a self-serve view of its service history and rego alerts, and lets it book the next service online. That is the phone call asking when a ute was last serviced, answered without you. See "Fleet Customer Portal setup and rollout".
